Service pricing calculator

Know what each visit really earns.

Build a price from supplies, provider pay, payment fees and your fixed costs. Then test a promotion, a package and a slower month before they reach your menu.

Your service and costs.

Price one service at a time, using completed visits and your own records. All amounts are USD. Figures stay in this browser tab.

1 / The service
2 / Costs of each visit
3 / Provider pay
4 / Fixed costs & volume
How much of the practice’s fixed costs belongs to this service?

Enter this service’s share, not the whole practice’s fixed costs. For example, shared fixed costs such as rent, committed payroll, software and insurance total $36,000 a month, and this service fills about 15% of the treatment-room hours actually used, counting setup and turnover. Its share is $5,400. Add $600 for a device lease that only this service uses, and enter $6,000.

Entering the practice’s full fixed costs for every service counts the same costs several times over and makes every service look unprofitable. Then plan the completed visits you realistically expect, not the calendar’s maximum: fewer visits leave each one carrying more of the fixed costs.

5 / Optional tests
Test a promotion, a package or new-patient marketing cost

Skip these for a first look at the service. A blank figure leaves its test out. A package needs both its size and its discount.

Results update as you edit valid figures. Nothing is sent to NuWays MD. Your figures and comparison are kept only in this browser tab, so they are still here if you open a guide and come back. Clear figures and Clear comparison remove them.

How this model works.

Contribution

Contribution = collected price − supplies − other per-visit costs − provider pay − payment fee. It is what each completed visit leaves to cover fixed costs, and then profit.

Fixed costs & volume

Fixed-cost allocation = monthly fixed costs ÷ planned completed visits. Break-even visits = monthly fixed costs ÷ contribution per visit, rounded up to whole visits.

Minimum & target prices

Minimum sustainable price = (per-visit costs that do not change with the price + fixed-cost allocation) ÷ (1 − payment fee − commission). The price for a target margin also subtracts the target from the divisor. When those percentages reach 100%, no price can work, and the calculator says so.

What it leaves out

Loan principal repayments, which belong in your cash-flow plan (the device ROI calculator models a loan), plus taxes, owner draws, refunds, room and provider capacity, and any change in demand caused by the price. Fixed costs include equipment leases, service contracts and loan interest. Packages are modeled as if every visit is used.
